Live Active Leisure takes your privacy very seriously and is committed to protecting your personal information. This Privacy Policy sets out how we collect, manage and process any personal information you provide to us. It applies whenever we collect your personal data (including when you use our website or other digital platforms).  We aim to communicate this as clearly as possible in plain English.

We firmly believe in the importance of keeping your personal information private. We will use our best efforts to ensure that the personal information submitted by you to us is kept private and confidential and is used only for the purposes described in this Privacy Policy.

The data controller is Live Active Leisure. We are committed to complying with the Data Protection Act 1998 (DPA) and the EU General Data Protection Regulation (GDPR).

What information do we collect?
We only collect the information necessary that will allow us to deliver our services or products and any contractual obligations that are in place. The information we collect may include any of the following:

  1. Any personal details you give us.
    When you fill in a form, type into our website or provide to our staff or when you fill in a form. This includes information that we require to set up your membership or make a booking for you; also, if you request written information or enter a competition and information required to provide any tailored services we may offer. Please note that we never store payment details on our website.
  2. Details of your transactions.
    We collect data for any transactions you carry out through our venues and website so that we can honour your booking and provide you with the services you have purchased.
  3. Information which allows us to recognise you.
    Storing data such as User ID, card ID, username, password saves you from re-entering your details again when you return to the venue or website. Cookies collect this data as you move around the website. Our cookie policy can be found here.
  4. Information about visits to our websites including IP address.
    The IP address is your computer’s individual identification number. We capture information about website visits, so we can learn more about how our customers use the website in order to find ways to improve the website and our products and services for your benefit.
  5. Your communications preferences.
    We keep a record of any permissions and preferences you give us about what types of communication you are happy to receive from us.

How do we capture, store & protect your personal information?
We treat all your personal information with great care. We keep it safe on secure servers and secure storage files where all access to this information is controlled. Information which has become outdated or has already served its intended purpose and is no longer required will be deleted securely.

How do we use your information?
We use your information to help us provide and improve our products and services for you.  We may use your information in the following ways:

  • to provide you with any services or goods that you have purchased
  • to check your identity
  • to update our records with any new information you give us
  • to notify you if we will be unable to provide a service you have pre-booked before. For example, to notify swimmers if the swimming pool will be closed for a short period
  • to provide marketing communications (if you have given us your consent) for research and analysis so we can develop and improve our services for your benefit
  • to comply with legal requirements.

Contacting You
If you give your permission, then we will keep you updated with our latest news and offers. We do our best to ensure our contact with you is relevant to you and we promise not to contact you too often. If you don’t want to receive these messages you can opt-out at any time. You can do this by using the ‘unsubscribe’ links in our emails or tell a member of staff the next time you visit any of our venues.

Who may we share information with?
We may employ third parties to provide specialist data services for us under contract. This means that these companies may process your data. Whenever we ask another organisation to provide a service for us, we ensure under strict contractual terms that they have security measures in place to protect your information at all times.
We promise that we will never share your details for marketing purposes with any third parties.
There may be circumstances in which we are required to share your personal data with the Police or to comply with any legal obligation.

Your Rights
We will conduct regular reviews of the personal information held to ensure the relevance of the information.
You have the right to access personal data and to request its erasure, rectification or transfer. You also have the right to object to processing, automated decision-making or request that processing is restricted.
If you believe the information we hold about you is out of date or incorrect, please tell us immediately. You will need a form of identification to request any changes.
To access the personal information held about you, you should submit a Subject Access Request, which is free of charge. However, a fee may be applied if the request is manifestly unfounded or excessive, particularly if it is a repetitive request.

A fee may be charged to comply with requests for further copies of the same information. The fee will be based on the administrative cost of providing the information.

We will need to verify your identity before we can proceed. As soon as we receive your request we will contact you to confirm your identity. We will then respond to your request within the statutory 1 month of receipt.
Where requests are complex or numerous, this may be extended to 2 months and if this is the case, the appropriate details will be communicated to the individual within one month of receipt of the request.

Complaints
In the first instance we hope you will contact us directly with any questions or complaints at the address noted above. Changes to this privacy policy
This Privacy Policy was published on 22 May 2018. We may change this privacy notice from time to time. When we do, any changes we may make to this policy in the future will be posted on this page.
